Making a change

Adding a warehouse or location

What's involved when you add a new fulfilment location to your HighCohesion integration.

When to use this

Use this guide when you are adding a new warehouse or fulfilment location. A new location affects multiple streams (inventory, fulfilment and financial), so it requires coordination with HC rather than a self-service change in the Control Panel. For how stock levels move between your systems, see How inventory sync works. If you are connecting a whole new system rather than a location, see Going live with a new platform.

When you add a location, the following streams may need updating:

  • Inventory sync: the new location needs to be included in stock level calculations and pushed to the correct destination fields

  • Fulfilment streams: orders routed to the new location need to flow correctly, including any 3PL-specific formatting

  • Financial streams: fulfilment costs and inventory movements associated with the new location need to post correctly

Before you start

Have the following to hand:

  • The name and type of the new location (own warehouse, 3PL, fulfilment partner)

  • The system it operates in (if a 3PL: which platform, for example Bleckmann or ShipBob)

  • Which streams should include the new location

  • Any routing logic, for example "orders tagged X should go to this location" or "this location handles returns only"

  • Your target go-live date

  • How to reach HC: see How to get support

Steps

Raise the request

  1. Contact HC with the information listed above.

Work through the change with HC

  1. Wait for HC to assess which streams are affected.

  2. Receive HC's scope and estimate for the change.

  3. Agree the scope.

  4. Let HC configure and test the change in a non-production environment.

  5. Complete UAT: verify that orders route correctly and inventory updates as expected.

  6. Go live.

Check the stock flow end to end

After go-live, confirm the inventory flow is healthy by tracing one stock movement all the way through:

  1. Book stock in, or adjust a level, for one SKU at the new location in your WMS.

  2. In the Control Panel, open the inventory stream and watch for the corresponding event.

  3. Check that the stock level for that SKU and location updates in Shopify.

What you should see

On day one, inventory levels in your destination system match the warehouse's actual stock, and orders route to the new location rather than falling through to a default or previous location. When you trace a stock movement, the corresponding event appears on the inventory stream in the Control Panel and the stock level for that SKU and location updates in Shopify. For how the flow works, see How inventory sync works; for event statuses, see Understanding event statuses.

If it did not work

Inventory figures look inflated (double-counting). If the new location holds stock that was already counted elsewhere, you may see inflated inventory figures until the configuration is corrected. Check inventory levels in your destination system against the warehouse's actual stock on day one. Contact HC immediately; do not attempt to manually correct figures in bulk until the root cause is confirmed.

Orders are routing to a default or previous location. Contact HC immediately; do not attempt to manually correct in bulk until the root cause is confirmed.

The event appears in HC but the Shopify stock level does not change. Open the event to see the error. See Data is showing incorrectly in a system.

No event appears at all. The WMS notification is not reaching HC. Contact the HC team.
