Managing users and permissions

How to add and remove team members from the Control Panel and what each access level allows.

When to use this

Use this guide to add a team member to the Control Panel, remove one, or change the role they hold. Only Owners can manage users.

For what each role can do, see "How it works" at the end of this page. For an introduction to the Control Panel itself, see Your first time in the Control Panel.

Before you start

  • You need the Owner role: only Owners can manage users.

  • For a new user, have their details to hand and decide which role to assign (see "How it works" below).

Steps

Adding a user

  1. In the Control Panel, go to Users in the left-hand menu.

  2. Click Create user.

  3. Fill in the mandatory details and assign a role.

  4. Click Create user to confirm.

Removing a user

  1. Go to Users.

  2. Find the user.

  3. Remove them.

Changing a user's role

  1. Go to Users.

  2. Open the user.

  3. Change their role.

  4. Save.

What you should see

  • After adding a user: the new user receives an email with the link to access the Control Panel. Two-factor authentication is enforced, so they are taken through 2FA setup on their first login. See Setting up two-factor authentication.

  • After removing a user: their access is revoked immediately.

If it did not work

You cannot manage users. Only Owners can manage users. Ask the Owner for your organisation to make the change.

If you are an Owner and still cannot make the change, contact HC: see How to get support.

How it works

The Control Panel has the following roles:

  • Owner: the admin of your organisation. Full access to configuration (including keys, streams, sources, destinations, transformations and lookup tables), alerts, and user management. Owners and Operators are the only roles that can replicate events. Assign this to the person responsible for the integration.

  • Operator: can view everything but has no edit access. Operators can replicate events and jobs and execute manual stream runs. Suitable for hands-on operations team members.

  • Viewer: read-only access to configuration and reporting. Viewers can monitor the system and pull reports without any risk of changing live settings. Suitable for stakeholders who need visibility.

Owners can edit streams, but stream changes affect live data flows. When in doubt, raise a change request with HC rather than editing directly: see Requesting a mapping change.
